If you run a business from home, you may not want your living room address on your website, invoices and business cards. A virtual address or virtual office solves that, but the two are not the same thing, and paying for the wrong one is an easy mistake.
This guide explains the difference, what each can and cannot do, what to compare between providers, and when a different option, such as coworking or a private office, is the better fit.
Virtual Address, Virtual Office and Coworking: The Short Definitions
| Option | What you get | Best for | Not enough if... |
|---|---|---|---|
| Virtual address | A professional street address for your business | Freelancers and home-based owners who mainly need a mailing or public address | You need to meet clients or work on site |
| Virtual office | A business address plus services such as mail handling and access to meeting rooms | Small businesses that work remotely but want a professional presence and occasional in-person meetings | You need a desk every day |
| Coworking | A desk or workspace you use in person, often by the hour | People who want to get out of the house regularly | You never actually need to be on site |
| Private office | Your own lockable office | Teams and professionals who need a permanent, private base | You rarely come in |
The simplest way to choose: a virtual address is about where your business is listed, a virtual office adds services and access, and coworking or a private office is about where you actually work.
What a Virtual Business Address Can and Cannot Do
A business address is not a registered agent
These are often confused. In Illinois, an LLC is generally required to maintain a registered agent with a street address in the state, and that is a separate role from having a business mailing address.
A virtual address on its own does not make a provider your registered agent. Check current requirements with the Illinois Secretary of State, and confirm with any provider whether they offer registered agent services before you assume they do.
Banks, licenses and mail
Some banks, licensing bodies and platforms have their own rules about which addresses they accept. Mail services that receive mail on your behalf are also usually asked to collect identity paperwork before they can handle it.
Ask any provider what is required so there are no surprises during setup, and check with your bank or licensing body before you commit.
Google Business Profile
Google has rules on which locations can be listed as a business address, and virtual offices where nobody is present during business hours are often not eligible for a Google Business Profile listing. Check Google's current guidelines before you plan your local search strategy around a virtual address.
Does the City on Your Address Matter?
Yes, and it is worth being straightforward about it. Our address is 2 E Rollins Road in Round Lake Beach, in Lake County, Illinois. It is not a Chicago or Gurnee address, and you should be cautious about any provider that implies a location it does not have.
For businesses based in Lake County or serving Lake County customers, a local address is credible and easy to explain. For a business that relies on a specific suburb or a Chicago identity, the location of the address matters more, so consider it before you choose.
What to Compare Between Providers
| Question to ask | Why it matters |
|---|---|
| What exactly is included in each plan? | Plan names hide big differences in mail, meeting rooms and support |
| How is mail handled and forwarded? | Scanning, forwarding and pickup all differ, and some cost extra |
| Can I use meeting rooms, and at what rate? | Occasional client meetings are often the reason for choosing a virtual office |
| Is there a contract, and how do I cancel? | Length and notice periods vary |
| Are prices published? | If the price is not clear up front, the total often is not either |
| What is required to open the account? | Identity paperwork and timelines differ |
Our Virtual Office Plans: Basic, VIP and Premium
We publish our prices so you can compare plans without asking for a quote. Every plan includes a professional business address and mail receiving. The difference is how much time you get in our physical spaces.
| Basic | VIP | Premium | |
|---|---|---|---|
| Price | $35 per month | $50 per month | $150 per month |
| Professional business address | Yes | Yes | Yes |
| Mail receiving | Yes | Yes | Yes |
| Mail scanning service | Not included | Not included | Included |
| Meeting room time per month | None included | 2 hours | 5 hours |
| Private office days per month | None included | 1 day | 4 days |
| Best for | A professional address and mail handling, nothing more | An address plus occasional client meetings and a day of focused work | Regular on-site use and digital access to your mail |
At our standard meeting room rate of $50 an hour, the 2 hours included with VIP are worth $100 on their own, and the 5 hours included with Premium are worth $250.
If you already expect to book meeting rooms every month, the higher plans can cost less than paying by the hour.
What every plan includes
- A professional business address. Use our Round Lake Beach address on business cards, your website and marketing materials, and for business registrations where a business address is what is required. It also gives a local business a recognized Illinois address.
- Secure mail handling by our on-site team. Incoming business mail is received and stored securely, you are notified when it arrives, and you can collect it on a schedule or on demand at the property.
- Optional access to our workspaces. Even if your business runs virtually, you can use a private office by the day for focused work or client meetings, book a meeting room by the hour for presentations and consultations, or drop in at a coworking desk. Time beyond what your plan includes is available at our hourly rates.
You can compare the full details on our virtual office in Round Lake Beach page.
Which plan fits?
- Choose Basic if you only need a professional address and somewhere for business mail to go.
- Choose VIP if you also meet clients now and then, or want a quiet office for a day each month.
- Choose Premium if you work on site regularly, or you want your mail scanned so you can read it remotely.
When Coworking or a Private Office Is the Better Fit
A virtual office is the right answer if you are mostly remote but want a professional address and the option to meet clients now and then. If you find yourself needing to leave the house regularly, a different option may serve you better.
- You want a desk some days: our coworking space is $5 an hour for a desk.
- You need a private room by the hour: private offices are $15 an hour.
- You only need a room for client meetings: you can book a meeting room by the hour for $50 an hour.
Many small businesses combine a virtual office with occasional hourly meeting room use, which keeps fixed costs low while still looking professional in front of clients.
How Setup Works
- Choose the plan that matches how you work.
- Complete the account paperwork the provider requires.
- Start using the address for your business.
- Ask about changing plans if your needs change later.
